Scanning a document using Kaagaz

Clicking Photos

To start scanning a document, click on the green ‘+’ button. Here you can click photo of the page that you want to scan by clicking on the “Camera” button. You can click photos of as many pages as you want in a particular document. After you are done clicking all the photos, click “Proceed” button.

Cropping Pages

After you press “Proceed” button, you will come to the Cropping screen. Here you can adjust the borders of the page. Click “Next” when you are done with adjusting the borders. If you are scanning more than 1 pages in the document, you will have to do the border adjustment for each of those pages one by one by clicking “Next”. After you have cropped all pages, click “Next” button.

Applying Filters

After you have click “Next” button, you will come to the Filter application step. There are 6 filter available:

  • - Original (Keeps original photo)
  • - Magic Color 1 (Best for documents with colors)
  • - Magic Color 2 (Similar to Magic Color 1 but with a little more brightness)
  • - White Magic (Best for Documents with white background)
  • - B & W (for Black & White effect)
  • - Gray (for Gray effect)

You can choose any of these filters as per your requirement. After this you can click “Done” to complete the scan. Same filter gets applied to all pages automatically and your document scan is complete.

If you want to change the filter on any page, you can do that with the Edit option that you get when you open any page.

Selecting Images

Click on the green ‘+’ button. Here you can click on the “Gallery” button. Select all the images that you want and click “Import” button. After you are have imported all the images, click “Proceed” button.

In Kaagaz, you can scan a multiple page document easily. The process is same as highlighted above in the first question “How to scan a document?”. You can just keep clicking photos as many photos as you want and follow the same scanning process.

You can add more pages to an already scanned document in Kaagaz. You can open any document that is in Kaagaz already. There you will see a green button that has a ‘+’ and a ‘tick’ button. You can click the ‘+’ button and follow the same steps as for scanning a new document. All the new pages will be added to the selected document.

No, Kaagaz doesn’t have any limitations on number of pages that you can scan.

Making a PDF using Kaagaz

Selecting Images

Click on the green ‘+’ button. Here you can click on the “Gallery” button. Select all the images that you want and click “Import” button. After you are have imported all the images, click “Proceed” button.

- Click on “three dot” menu given in an individual document card on dashboard. There a menu will open in which you will get an option “Share Document”. Clicking on that will pop-up an option to “Share as PDF”. You can choose that and share the document as PDF.

- You can open any document in Kaagaz. Inside, you will see a “Share Document” option. Clicking on that will pop-up an option to “Share as PDF”. You can choose that and share the document as PDF.

Downloading files from Kaagaz

You can Download any document by two ways:

- Click on “three dot” menu given in an individual document card on dashboard. There a menu will open in which you will get an option “Save as PDF”. You can choose that and the document will be downloaded as a PDF on your phone in the “Downloads” folder. You will be able to access it easily from your phone’s File Manager.

- You can open any document in Kaagaz. Inside, you will see a “three dot” menu on top right corner. Clicking on that will show an option to “Download”. Clicking on that will pop-up an option to “Download as PDF”. You can choose that and download the document as PDF on your phone in the “Downloads” folder. You will be able to access it easily from your phone’s File Manager.

You can choose that and all the pages of the document will be downloaded as separate images on your phone in the “/Documents/Kaagaz” folder. - You can open any document in Kaagaz. Inside, you will see a “three dot” menu on top right corner. Clicking on that will show an option to “Download”. Clicking on that will pop-up an option to “Download as JPG”. You can choose that and all the pages of the document will be downloaded as separate images on your phone in the “/Documents/Kaagaz” folder. You will be able to access it easily from your phone’s Gallery / Photos App.

You can Download any document by two ways:

Downloaded PDF documents are stored in “Downloads” folder. It can be easily accessed from your phone’s File Manager app.

Downloaded Images are stored in “/Documents/Kaagaz” folder. It can be easily accessed from your phone’s Gallery / Photos App.

Watermark in Kaagaz

Kaagaz doesn’t have any default watermark like other scanning apps do. Infact in Kaagaz, you have an option to add a Watermark of your choice if you want, by selecting the Custom Watermark option.

Click on the “Settings” button from the Menu. There you will get an option to “Add your own Watermark” in the Preferences section. Clicking on this will open a pop-up box in which you can enter the Custom Watermark that you want to have.

Custom Watermark is shown at the bottom right of each page in the PDF document. Please note that Watermark is shown only in the PDF format not in the JPG format.

Folders in Kaagaz

You can click on “three dot” menu given in an individual document card on dashboard. There a menu will open in which you will get an option “Move to Folder”. Clicking on that will take you to a screen where you can see the list of all folder. You can choose any folders from here and the document will be moved immediately.

You can go to the “My Folders” section by swiping left on the dashboard (main documents screen of the app). Here you can see “Add your Folder” button at the top. You can click this and enter a Folder name in the pop-up box. Click “Submit” and your folder will be created.

Clicking on this will give you a “Delete” option. Clicking on that will pop-up a delete confirmation message. Once you confirm, this folder & all documents inside it will be permanently deleted from Kaagaz.

You can go to the “My Folders” section by swiping left on the dashboard (main documents screen of the app). Here you can see a “three dot” button in front of every folder. Clicking on this will give you a “Rename” option. Clicking on that will open a rename pop-up box. You can edit the folder name & click Save.

Languages in Kaagaz

Kaagaz is available in 9 languages – English, Hindi, Marathi, Gujarati, Bengali, Telugu, Tamil, Malyalam & Kannada.

Click on the “Settings” button from the Menu. There you will get an option to “Change App Language”. Click on this and choose your preferred language.

Security features in Kaagaz

Click on the “Settings” button from the Menu. There you will get an option to “Set up a separate app lock for Kaagaz” in the App Security section. You can switch it on and choose a 4-digit PIN of your choice. Next time when you open the app, it will ask for the Kaagaz App PIN.

Click on the “Settings” button from the Menu. There you will get an option to “Enable your phone lock as App Lock” in the App Security section. You can switch it on and enter your Phone’s PIN. Next time when you open the app, it will ask for the Phone’s PIN.

PDF Tools in Kaagaz

You can import PDF files in two ways:

- Inside Kaagaz App, you will see a “three dot” menu on the top right corner. Clicking on that you will get an option “Import PDF”. Clicking on this will open the File Manager, where you can select any PDF file that you want to import to Kaagaz. Clicking on any PDF file will immediately bring the file in Kaagaz.

- From your phone’s File Manager, you can select any PDF file that you want to import to Kaagaz. When you try to share this file using the share option in the File Manager, you will get an option “Save to Kaagaz Scanner” among the many other options like Whatsapp, Email etc. You can select this option and the document will be saved in Kaagaz immediately.

Kaagaz is also a PDF reader and can be used to open any PDF files received from anywhere. When you click on any PDF files on your phone (in File Manager, Whatsapp, Email or anywhere else), you will get an option to open it with Kaagaz. Selecting that will open the file. In Kaagaz, you can also open password protected files.

Long press on any document card. This will select the corresponding document and will show a green tick on the left corner of the card. You can now click on multiple documents and they will get selected, showing a green tick on each of them. You will also see a new menu at the bottom, where you will see a “Merge” button. Clicking on that will open a pop-up with two options “Merge & Delete Old Documents” and “Merge & Keep Old Documents”. You can choose any of these and the selected PDF files will get merged.

Inside any document, there is a “three dot” button on top right. When you click on this, you will find an option “Select Pages”. When you click on that, you will see checkboxes on top left corner of each Page. You can now click on all the pages that you want to select to split and they will all get selected, showing a green tick on each of them. You will also see a new menu at the bottom, where you will see options like “Share” & “Download”. Clicking on these options will pop-up an option to “Share as PDF” and “Share as JPG”. You can choose any of these options and a new PDF will be created (shared or downloaded) with only the selected pages.

Click on any document in which you want to rearrange pages. Inside the document, you can long press any of the pages and move it to your desired position within the document. This moves the page to the desired location and adjusts all other pages accordingly.

Inside any document, you will see an option “View PDF”. Clicking on this will open the PDF view of the document with all pages as part of this document. From here, you can also download the PDF as well as Share the PDF.

For this you would need to know the password first. This is only to save a without-password version of a password-protected file.

Open the password protected PDF using Kaagaz. It will ask for password to open the file. Once the file is opened, you can now Download it again from Kaagaz. This downloaded file will not have password now. You can share this file with others and they will be able to open it without the password.

On the main documents screen of the app, you will see an option “Import from Whatsapp”. Clicking on this will import all PDF documents received in your Whatsapp to Kaagaz. A folder named “Imported – Whatsapp” will be created and all these documents will be saved there. Importing whatsapp documents to Kaagaz makes it easy for you to search the documents when required.

Deleting files in Kaagaz

You can Delete any document by two ways:

- Click on “three dot” menu given in an individual document card on dashboard. There a menu will open in which you will get an option “Delete”. Clicking on that will pop-up a delete confirmation message. Once you confirm, the document will be permanently deleted from Kaagaz.

- You can open any document in Kaagaz. Inside, you will see a “three dot” menu on the top right corner. Clicking on this you will see an option to Delete. Clicking on that will pop-up a delete confirmation message. Once you confirm, the document will be permanently deleted from Kaagaz.

In Kaagaz, you can choose to delete any specific page out of any document. Open the document. Click on the page you want to delete. When it opens in full screen, you will see a Delete option in the bottom menu. Clicking on that will pop-up a delete confirmation message. Once you confirm, this particular page will be permanently deleted from the document.

You can go to the “My Folders” section by swiping left on the dashboard (main documents screen of the app). Here you can see a “three dot” button in front of every folder. Clicking on this will give you a Delete option. Clicking on that will pop-up a delete confirmation message. Once you confirm, this folder & all documents inside it will be permanently deleted from Kaagaz.

Clicking on that will pop-up a delete confirmation message. If the document is backed up on Cloud, you will get 3 options: Delete only from Phone, Delete from Phone as well as Cloud and Delete only from Cloud. You can choose whichever option you like and accordingly the document will be deleted. Please note, once the document has been deleted from Cloud, it cannot be retrieved in anyway.

Cloud Storage in Kaagaz

You can click on the ‘Sign In’ option in the Menu or click on any of the “Back up on Cloud” options in the app. This will open up a Sign Up screen. You can Sign Up for Kaagaz Cloud using Mobile number and OTP or using Gmail login.

You get 100 Mb free cloud storage to back up your documents.

Once you are Signed In, you can go to the “Settings” option in the Menu. In that you will find an “Auto Backup on Cloud” option in the Cloud Settings section. You can switch it on/off as per your choice. Keeping it switched on is a preferred setting because it makes sure that all your documents are getting by default and you would not loose the document even by mistake.

Currently, we don’t have any paid plans for more cloud storage. You can still send us a request for upgrade and we’ll get back to you with the next steps. To do that, once you are Signed In, you can click on the Profile section (your name) in the Menu. In that you will find an Upgrade option against the “Account Type”. You can click on this and let us know that you would like to get an Upgrade.

You can upload documents on cloud in 3 ways:

- Switch on Auto Back up from the Cloud Settings as explained above. This will automatically upload every new document to cloud.

- Click on “three dot” button on the top right corner in the main documents screen. You will get an option to “Back up all documents”. You can use this to back up all the documents periodically.

- Click on the cloud upload icon shown against each document card to individually upload any document.

If you change your mobile phone or want to access your cloud documents on any other device, you can Sign In to the new device using the same login details. Once you are Signed In, you can click on the Profile section (your name) in the Menu. In that you will find an option to “Restore Backup” in the Cloud Settings section. You can click on this and all your documents from cloud will be restored on the device.

Edit Files in Kaagaz

Yes, you can re-crop any page even after the scan is completed. Go to the document which you want to edit. Select the page that you want to re-crop. When the page opens in full screen, you will see an “Edit” option in the bottom menu. Select that and you will get an option “Re-crop / Edit Filter”. Select that option & you will now be able to crop the page again as per your choice.

Yes, you can change the filter applied on any page even after the scan is completed. Go to the document which you want to edit. Select the page for which you want to change the filter. When the page opens in full screen, you will see an “Edit” option in the bottom menu. Select that and you will get an option “Re-crop / Edit Filter”. Select that option & you will now be able to crop the page again & then change the Filter in the next step as per your choice.

Yes, you can change the brightness / contrast of any page even after the scan is completed. Go to the document which you want to edit. Select the page for which you want to change the filter. When the page opens in full screen, you will see an “Edit” option in the bottom menu. Select that and you will get an option “Brightness / Contrast”. Select that option & you will now see a slider for Brightness & Contrast each. You can make the changes & confirm by clicking Done.

Yes, you can re-take any page even after the scan is completed. Go to the document which you want to edit. Select the page that you want to re-crop. When the page opens in full screen, you will see an “Edit” option in the bottom menu. Select that and you will get an option “Retake”. Select that option & you will now be able to click a photo again and replace the earlier one with a new scanned page.
